HOW A PROPERTY MANAGEMENT CONSULTANT HELPS WITH QUALITY RENTERS?

As a property owner, one of the biggest concerns is having a troublesome tenant, one that doesn’t adhere to the rules and requirements set. Davita Management, being a property management consultant aims to avoid such a scenario when assisting landlords in obtaining a tenant for their respective properties. As a property management consultant it is essential to ensure the right tenant is obtained in order for the lease agreements to be signed. There are multiple ways in which this is done.

It all begins upon receiving an inquiry for a specific property of interest. At this stage, it is too soon to conclude whether the potential tenant is deemed a quality renter however the level of seriousness can be gauged by how soon the potential client wants a unit and/or how serious he/she is about scheduling for a viewing. As a real estate company, it is important to gauge the level of seriousness of a potential inquiry, furthermore due to the constant interactions with different potential tenants, this becomes habitual and easier to assess.

Once a potential tenant shows signs of commitment and willingness to proceed with renting the property, the next broad step as a real estate property management company is conducting a background check of the potential tenant to ensure legitimacy and to find out more information in relation to the client. The responsibility of a real estate property management company is to protect the interests of both the owner and tenant of a property and the importance of conducting background checks cannot be stressed highly enough.

One of the ways in which a real estate property management company conducts background checks is by asking for certain documentations from the potential tenant such as a copy of their passport, a copy of their National Identity and a copy of their KRA (Kenya Revenue Authority) Pin if applicable. These documentations are assessed and kept for records purposes. In addition, as a real estate property management company, meetings/interviews are held with the potential tenant explaining to them the terms of tenancy, the rules that have to be adhered to, reason as to why they are leaving the property they were previously staying in. The outcome of the verbal conversation between the real estate property management company, in this case Davita Management, and the potential tenant is then relayed to the owner of the property so that he/she is aware of what was discussed.

Furthermore, in order to have the details of the potential tenant in writing, an email is sent to him/her by Davita Management, being a real estate property management acting on behalf of the landlord requesting for general details such as Full names, ID number, KRA Pin (if applicable), tenancy duration, postal address, contact details, next of kin details, frequency of rental payments, number of residents and place of work details. These details are further used to prepare the lease agreement and letter of offer.

Every real estate property management company has lease agreements that are sent to their clients and this is no different with Davita Management. The terms and rules are stated in the agreement and the potential tenant is required to acknowledge, sign and adhere to these terms. Furthermore, Davita Management being the facilities management consultant of the specific property, further issues house/property rules that the tenant needs to sign as well. Along with the lease agreement, the letter of offer is issued explaining payment terms and notice terms amongst other specifications that need to be followed as well as bank account details for payment purposes. Upon the tenant signing these documents, they are also sent to the landlord in order for him/her to sign. All parties then keep a copy of the documentations.

Once these procedures are completed and payment is made, Davita Management being the mediator, sends an email introducing both the landlord and tenant. This aids in creating and enhancing a healthy landlord-tenant relationship hence leading to a long term, quality tenancy duration.
